Planning an event can be stressful to the planner. But it does not have to be. A few simple steps can clear the head and streamline the process, turning it from daunting to as fun as the party itself.

The warmer months bring more than elevated temperatures; they bring celebrations. Those celebrations, in turn, can demand intense management. Birthdays, weddings, family reunions, pool parties and the like all are a special draw brought on by the summer weather.

While attending or dreaming of such festivities is easy, coordinating one can feel daunting. But with the right mindset, those worries are unnecessary burdens that are safe to shrug off the shoulders, so the excitement can be embraced from start to finish. Here is a quick overview of how to approach a party of any kind without any stress tainting the excitement.

The Drawing Board

Start at the drawing board and ask some fundamental questions:

Where is this party taking place?

How many can the location accommodate?

Who shall be invited?

When are the majority of people free?
When is the venue available?

When should it start and how long shall it run to?

Is there a theme?

What food and beverages should be served?

Do guests need to bring anything?

What is the budget? How much do different items cost?

And so on. Collaboration with any invested individuals can help put things into perspective. Ultimately, though, looking inward will reveal the kind of party this is desired to be. Writing the questions and answers down helps make the inquiries and their answers more concrete, tangible, and thus easier to pursue.

Gathering Information

This next phase is important for the success of the event, and spans a few areas of research.

If the event is taking place at a venue that is not the host's home, the location should be contacted to ask about availability, how many individuals may fit comfortably, etc.

Weather can be unpredictable, of course, but if any notice is available for what to expect on various dates, that will need to be looked at in turn.

Inquire when potential guests are available or away; it is possible not everyone can attend no matter the date, but there is also a possibility that most if not all can if care is taken to choose a time when they are not away.

Invite ASAP

There can be no party without guests, and so it is important for host and attendees alike to be given enough time to plan to make it to the event. Invitations should, then, be sent out early; how long before the date depends on the event itself, and can change depending on what dates are known to not work, but generally at least a month or two is suitable. If it is a summer event, many families may know they are going to be away for a vacation or the like.

Choosing an invitation that fits the theme of the event can build excitement and bring some fun to the process. Providing an RSVP date also allows the host to know ahead of time how many to expect, and lets guests feel committed and build a sense of happy anticipation.

Resource Gathering

Referring back to the list of questions and answers and the research gathered, it is now time to utilize that. Depending on the event and location, some items may not be the host's responsibility but rather that of the venue; in this case, it is important to share this information with the location.

But if the party is at a home, there are a few necessities to have in stock. Plates, forks, knives, napkins, and cups are basic but crucial for comfortable dining. Seating and trash bags to dispose of garbage are also simple but important items. Decor can enhance any themes the party has; for example, a beach theme for a pool party can set guests in just the mood to enjoy the pool. Food and dining items can be made to fit with this theme; if the majority of the event is outside, it is advised to not use the finest, antique, family heirloom glassware in the china cabinet.

In Conclusion

Event planning can bring many responsibilities. But that is no reason for the host to be less excited than the attendees. By following some basic steps, a sense of calm can accompany the party planning journey right to a satisfying success.
